Club Constitution

The Club shall be called Southend Collegians Football Club. (“the Club”)

“The Club” shall be affiliated to the Essex County Football Association and shall play in such leagues and cups as the Committee may from time to time decide.

The objects of “the Club” shall be to play Association Football and promote and take part in those social activities usually connected with a football club.

Membership of “the Club” shall be conditional upon:

a) Any annual subscription being paid within one month of the commencement of the playing season.

b) Any outstanding subscriptions from previous seasons being paid prior to the commencement of the current playing season.

c) Any members’ payments made to “the Club” will be applied in the following order:-

 

i)   Unpaid Fines

ii)  Unpaid subscriptions from prior seasons (oldest first)

iii) Unpaid playing fees from prior seasons (oldest first)

iv) Any other unpaid debts prior to current season

iv) Current season annual subscription

v)  Current season playing fees

a) The annual subscription for a single registration will be £20.00. Any additional registrations will be charged at £5.00 each.

b) The annual subscription shall be agreed annually at the A.G.M.  Members joining the Club after.  31st December in any season will be entitled to a reduction of 50% in the annual subscription for that season.

c) The annual registration fee shall be included in the subscription.

d) Playing fees shall be agreed annually at the A.G.M.

e) Audited sets of accounts shall be presented annually and adopted at the A.G.M.  Where audited sets of accounts are not available a draft set of accounts will be presented for adoption. These will be made available for scrutiny by a qualified auditor.

The playing colours of the Club shall be:

  • Shirts containing a predominance of yellow

  • Black Shorts

  • Black Socks

All players must turn out in correct dress

a) The Annual General Meeting (A.G.M.) shall be held on or before September 15th each year at such time and place as the Committee shall determine. Not less than 14 days advice shall be given to all members of the date of the A.G.M. and this shall contain notice of the agenda. Alterations or additions to the rules may only be made at the A.G.M. or Extra Ordinary General Meeting.

b) Proposals for alterations or additions must be advised in writing to the Hon. Secretary 28 days before the A.G.M. or at the time of requesting a special meeting.

c) An Extra Ordinary General Meeting shall be held within 14 days whenever the Committee consider it necessary or whenever 14 or more members so request in writing to the Hon Secretary.

d) Not less than 10 days notice shall be given to all members stating the reason for such an Extra Ordinary General Meeting.

At all A.G.M’s and Extra Ordinary Meetings 14 shall constitute a quorum

“The Club” shall have as it’s Committee the following responsible for the business of “the Club” who shall be elected at the A.G.M: Chairman; Vice Chairman; Hon.  Secretary; Hon. Assistant Secretary; Hon. Treasurer; Hon. Assistant Treasurer; Social Secretary; Equipment Secretary; Communications Secretary; Team Managers as selected by the incoming Committee members above will be invited to join the committee for the current season.

Six members of the Committee shall form a quorum.

The Club may also elect if the members so desire a President and Vice-President(s).

All officers shall hold office for one year and shall be eligible for re-election.

a) The Chairman, Hon Secretary and Hon Treasurer may only be removed from office by a majority vote of all current members at an Extra Ordinary General Meeting convened for that purpose. Non attendees can submit votes by proxy.

 

b) All other officers may be removed from office by a majority vote at an Extra Ordinary General Meeting convened for that purpose.

All officers’ positions shall be honorary

Any vacancy occurring on the Committee shall be filled temporarily by one of the remaining officers of the Committee. An Extra Ordinary General Meeting is needed to elect another member to fill the vacancy.

The Committee may at it’s discretion appoint from it’s officers Sub-Committee’s and these shall have the power to co-opt such other members of the Club as deemed necessary.

a) The Committee shall have the power to expel any member who shall offend against these rules or whose conduct shall in the opinion of the Committee render him unfit for membership.

 

b) Before any expulsion the Hon Secretary shall give the member 7 days written notice to appear before the Committee and no member shall be expelled without having the opportunity of appearing before the Committee and answering complaints made against him.

The constitution of the Selection Committee and playing policy of the Club shall be determined by the elected full Committee

a) The Captain’s and Vice-Captain’s of each team shall be elected by the Committee as soon as practicable after commencement of the season.

 

b) The Committee shall have the right at their absolute discretion to replace either the Captain or Vice-Captain of any team.

The Selection Committee shall consist of Captains of the 1st, 2nd, 3rd Sunday and Veteran teams; Team Managers; with the Hon. Secretary or Assistant Hon. Secretary to act as Chairman.

All teams shall be selected at the discretion of the Selection Committee.

a) All players will make themselves available to play in any Team.

b) All players will play in the Team selected by the Selection Committee.

c) The Selection Committee shall have the right at their absolute discretion to not select any player if a player refuses to play for the Team for which he is selected.

Anyone joining the Club accepts the Constitution by virtue of their so joining.

A copy of this Constitution shall be handed to all members.
